How to organize a pet record folder alongside Tail Planner
Keep official veterinary documents and images in your own secure folder, then use Tail Planner for a short index, dates and everyday notes. The organizer stores text records in your browser and does not upload files or retain a server copy.

Give each pet a clearly named folder
Choose a storage method you can access and back up. Use a separate folder or divider for each pet so a document for one animal is not handed over as another's record. A practical structure might separate clinic documents, identification, care instructions and your own notes. This is an editorial filing suggestion; choose what fits the records your veterinary practice gives you.
Put the date in the filename or label
A useful document label identifies the pet, the issuing practice, the document type and its date. For example, 'Nori, Example Clinic, visit instructions, 2026-10-11' says more than 'scan-final-2.' This is an illustrative label, not a real patient record. Preserve the document itself without editing clinical directions to fit your preferred filing style.
Use the organizer as a map to the documents
In a profile, write a short location note such as 'current clinic instructions are in the private vet-records folder.' Do not paste account passwords or access codes. Tail Planner's text fields have length limits and its backup is limited to 2 MB on import. It does not attach photos, PDF records or scanned documents, so keep those files in storage suited to them.
Separate an index from a shareable care sheet
A sitter may need the ordinary routine and contact numbers without needing every historical test result. Before printing, review the selected pet's profile and entries for unnecessary private information. Share official records directly with a clinic when it requests them through its normal process. A printed organizer summary is your own handoff, not an authenticated medical document.
Back up both kinds of records
Export Tail Planner's JSON backup and separately back up your document folder using your chosen method. Saving one does not protect the other. Write down the review date and the person responsible for keeping instructions current. If you change device or browser, follow the organizer's transfer process and check the restored records before removing an older copy.
Quick checklist
- A clearly labeled folder for each pet
- Official documents preserved with source and date
- Organizer contains a short document-location index
- Shareable summaries reviewed for private details
- Document folder and organizer backed up separately
Common questions
Can I attach a veterinary PDF in Tail Planner?
No. Store the PDF privately elsewhere and keep a brief location note in the organizer if useful.
Does a JSON backup include my photos?
No. It includes the organizer's structured text records, not files saved in a separate folder.
